Benefits of agents and travelers on one platform

Spotnana is the first to offer a single travel platform for travelers, travel managers, travel agents, and TMC managers – all running on the same modern infrastructure.

When travel agents and business travelers use the same technology, there are significant benefits for corporate travel programs, including personalized service delivery, faster issue resolution, and simplified global travel management.

Most travel programs today operate in silos

Corporations with a managed travel program typically use an Online Booking Tool (OBT) to book travel and manage their travel program, while their travel management company (TMC) uses completely separate technology for agents to book and service trips.

This means that travelers and agents might not see the same content, and agents might not see an accurate, complete view of travel policies, know which travel providers are preferred, have access to the latest site messages, or be able to use the same forms of payment.

All of this can create confusion, making it harder to service bookings and realize the benefits of a managed travel program.

Spotnana provides single travel platform for everyone

Spotnana’s Travel-as-a-Service platform offers much more than an Online Booking Tool. Beneath the surface, Spotnana includes a Booking Engine, System of Record, and Content Engine. These components eliminate the need for TMCs to stitch together separate tools for profiles, policies, emails, invoices, unused ticket management, fees, payments, and mid-office automation – all of which need to stay in sync to avoid errors.

On top of this foundation, Spotnana offers role-based user interfaces for travelers, travel arrangers, meeting and events planners, travel agents, and TMC managers.

Travel agents have access to a wide of tools that are designed to increase efficiency, including:

  • Team, task, and queue management – agents can be organized into any structure and rules can be created that automate the routing of tasks based on queues and other criteria.
  • Automated quality control – automation ensures bookings are accurate and data is complete. Rules can be developed for continuity checks, fraud detection, data validation, configuration verification, and more.
  • Advanced content center tools – agents gain access to built-in tools for omnichannel service via chat, email, and phone using Spotnana’s deep integration with top tier contact center software.
  • AI tools for agents – an AI companion for agents suggests responses to traveler questions, and agents benefit from additional AI tools for summarizing requests and service history, parsing fare rules, and ingesting data from offline bookings.
  • Agent performance analytics – agents and team leads are able to view detailed data on agent ticket volumes, handling time, resolution rate, and more.

Travelers benefit from personalized global servicing

Since Spotnana provides a single travel platform for TMCs and their customers, agents using Spotnana have access to the same content, policies, profiles, negotiated rates, unused ticket credits, site messages, preferred suppliers, and payment methods, trips, and booking history as the travelers they serve.

All of this information is available at a glance to an agent through Spotnana’s agent companion view. Having access to this information at a glance makes it much easier for an agent to provide personalized service and quickly resolve traveler issues.

With Spotnana, new features and content sources are released to travelers and agents in parallel, and they can be activated by our TMC partners for their agents and customers at the same time. This means that the systems that agents and travelers use are never out of sync.

Spotnana’s architecture also enables any agent to service any traveler from any location. Spotnana is deployed as a single global instance for each corporation, all of which roll up to a unified view for a TMC. In addition, Spotnana allows TMCs to provide agents with access to all the content they need to service travelers anywhere in the world. This makes it easier for TMCs to support multi-national customers with fewer operations centers.

Travel managers save valuable time

Spotnana provides an extensive set of tools for travel managers to configure and manage their travel program without TMC assistance. For example, travel managers have self-service tools for managing legal entities, policies, approval workflows, traveler messaging, custom fields, preferred suppliers, booking restrictions, payment methods, and more.

With most corporate travel programs today, it’s necessary for a travel manager to notify their TMC when they make changes in these areas, so the TMC can update the systems they use. Often it can take several days for a TMC to make the necessary changes on their side. Spotnana eliminates this hassle. Any changes made by a travel manager are instantly visible to travelers and agents at the same time.

Travel managers using Spotnana also gain real-time visibility into spend, savings, and traveler behaviors through our extensive analytics and reporting capabilities. There is never a need to wait for a TMC to aggregate data across separate OBT deployments. Spotnana’s reports also include bookings that agents make outside of Spotnana, since agents are able to easily add an outside booking to Spotnana through an AI assisted process that scans confirmation emails and extracts key data elements.
