Spotnana’s new custom fields unlock flexibility and control for travel managers

Custom fields are a powerful tool for travel managers and travel management companies (TMCs) to gather and organize information by adding questions into the booking flow. Spotnana customers use custom fields to capture essential transaction data like trip purpose, map travel spend to specific departments, customers, and projects, and more. 

We’ve completely rebuilt our custom fields feature from the ground up to provide a more flexible, comprehensive, and intuitive experience. The latest enhancements offer substantial benefits for both travel managers and TMCs.

More powerful than ever

Our new custom fields feature offers a sophisticated set of capabilities, all managed through a simple, point-and-click interface that puts you in control of your data.

  • Enhanced configuration dashboard: We’ve developed a new dashboard with a table layout to manage all your custom fields with ease. 
  • Advanced rule engine: Custom fields can now be displayed based on conditional logic that adapts to specific travel scenarios. This means you can create rules based on a variety of criteria, including traveler attributes, search criteria, user roles, and payment methods. 
  • Dynamic fields: You can create dynamic workflows by triggering a custom field based on responses from another custom field.
  • Trip-level vs. booking-level fields: You now have the power to decide if a custom field is captured once for an entire trip or for each individual booking. When a field is set at the trip level, it will automatically pre-populate for subsequent bookings, saving time and ensuring consistency.
  • Automated and user-entered fields: Our previous version only supported user-entered custom fields. Now, you can also create custom fields that are populated automatically based on trip logic, such as a field for a specific office location, giving you more flexibility for reporting and back-office functions.
  • TMC-specific features: The new system supports central TMC administration across multiple customers through a TMC-level configuration experience that offers the same capabilities available to travel managers. 
  • Flexible response types: We’ve added new field response types, including single-select, multi-select, free text input, and the ability to integrate with HR feeds.

Sample use cases for custom fields

Travel administrators frequently utilize custom fields to gather additional traveler information during trip bookings. This often includes unique client data such as department, project and budget codes, and details related to specific travel policy compliance. This practice aids in collecting data for reporting, providing deeper insights into travel patterns, spending, and policy adherence.

Here are some common applications of custom fields:

  • Department or cost center: Accurately allocate travel expenses to the appropriate budget.
  • Project or customer codes: Track travel expenses associated with specific projects.
