Approve travel in seconds with Spotnana’s approval enhancements

Travel approvals are time-sensitive by nature. Yet standard approval processes can be lengthy, multi-step, and completed across various platforms costing companies real money.

We’re committed to streamlining travel management at Spotnana. To that end, we’ve rolled out several significant approval enhancements, including the introduction of pre-booking approvals, a completely redesigned, table-based approval dashboard, and approval APIs. These combined features offer organizations increased visibility and a superior traveler experience by enabling them to manage travel seamlessly within their existing, everyday systems.

Easier trip approvals with workspace integrations

Our APIs allow organizations to embed travel approval workflows directly into existing systems, whether that’s an internal portal, Slack, Microsoft Teams, a mobile app, or an expense management platform.

As part of this, we offer two approval APIs:

  1.  Spotnana’s List Approvals API, which retrieves all trips requiring approval with flexible filtering by organization, date range, and status. This returns all the data an approver needs at a glance, including:
    • Trip details: Destination, dates, and itinerary segments.
    • Traveler information: Name, department, and cost center.
    • Cost breakdown: Total amount with currency conversion.
    • Policy context: Whether the booking is out of policy, including specific violation codes.
    • Approval deadline: The exact timestamp before the fare expires.
    • Booking specifics: Flight segments, confirmation numbers, and itinerary details.
  2.  Spotnana’s Approver Action API, which allows users to approve or decline requests directly from their workspace, no context-switching or extra logins required.

Customizable implementation to meet business needs

At Spotnana, we understand that there is no one size fits all strategy. With our approval APIs, you can tailor your strategy to meet your business needs. You might, for example:

  • Leverage a unified workspace dashboard by consolidating travel approvals alongside IT requests and HR workflows in a single internal portal. Approvers see an out-of-policy flag and the specific violation immediately.
  • Use a Slack or Teams integration with a custom bot to surface requests as interactive messages. With “Approve” and “Decline” buttons right in the chat, decisions are processed in real-time.
  • Activate a mobile-first experience by displaying pending requests on a custom mobile app with push notifications. A single tap protects fare availability even when away from a desk.
  • Set up automated escalation by using the API’s deadline timestamp, workflow tools can identify requests at risk of expiring and automatically escalate them to backup approvers.
