Flexible, self-service travel program communications

Effective, efficient communications are essential to a well run travel program. In the past, travel managers and TMCs had to manage a wide range of travel communications through different tools than travelers used to book their trips.

Spotnana is changing that. We’re excited to announce two new advanced capabilities for improving traveler communications that are built into Spotnana’s Travel-as-a-Service platform:

• Traveler messaging– A major expansion of our initial site messaging feature, traveler messaging enables travel managers to create and schedule standalone emails and in-platform messages with unprecedented flexibility and control.
• TMC email builder– Allows TMCs to control the layout and information content within itineraries and approval emails.

Empowering travel managers to automate communications

Our enhanced traveler messaging capability introduces new flexible, multi-channel communication tools. Traveler messages can now be sent via custom emails, embedded into standard booking confirmation emails, or surfaced within the platform on banners across the Search, Search results, Checkout, Trip list, and Support pages. 

Travel managers now can write, schedule, and deliver custom emails using a new template builder with a configurable rules engine. 

Spotnana’s traveler messaging functionality has been designed to support a wide range of scenarios including policy changes, high-risk travel alerts, marketing communications and more. Messages can also be sent to travelers based on trip parameters, such as within a set time frame before or after a flight departure or hotel check-in date.

Spotnana also makes it easy to enable, disable, edit, delete message templates, greatly simplifying communications management.

Giving TMCs control over the customer experience

Spotnana now enables TMCs to configure and send automated itinerary and approval emails. Through Spotnana Cloud for TMCs, these emails can be customized via templates to control what these emails contain.

Our new TMC email builder enables TMC administrators to set defaults for email communications across all of their customers or tailor communications for a specific organization using a configurable rule builder, providing granular control by organization, country, and currency.

Administrators can customize the structure and content of automated emails using three different templates:

• Traveler itinerary email- Emails using this template will be sent for any booking-related activity. Travelers will always receive these emails. If there is more than one booking within a trip, only a single consolidated itinerary email will be sent for all bookings.
• Approver request email- Emails using this template will be sent to approvers for any booking-related activity which requires approval (e.g., reminders, expiration notification, approval received).
• Itinerary PDF- This template controls what will appear in the PDF file attached to emails. The PDF contains similar information as the traveler itinerary email plus additional detail. The PDF is attached to both the traveler itinerary and approver request emails.

It’s easy for TMCs to customize automated emails based on trip information and traveler attributes.

Each email template contains both the content of the email to be sent and the logic that controls who will receive the email. Rules can be defined for all organizations managed by the TMC or for a specific organization, with logic based on country and currency. It’s simple to edit email template rules as needed to further refine the communication of your travel program.
